How to Request Data Deletion

To request deletion of your personal data, follow these steps:

Send a Deletion Request Email

Email us at privacy@healthcarewithai.cloud with the subject line "Data Deletion Request".

Include Required Information

In your email, include:

  • Your full name
  • The email address or phone number associated with your account
  • Whether you want full deletion or deletion of specific data categories
  • Your role (clinic admin, doctor, patient, or website visitor)

Identity Verification

We will verify your identity within 3 business days to ensure the request is legitimate and to protect your data from unauthorized deletion.

Deletion Processing

Once verified, we will process your deletion request within 30 days. You will receive a confirmation email when the deletion is complete.

What Gets Deleted

Upon a valid deletion request, we will permanently remove:

  • Your account profile and login credentials
  • Personal contact information (name, email, phone number)
  • Usage data and activity logs associated with your account
  • Communication history and preferences
  • Any data collected through Meta platform integrations (Facebook, Instagram, WhatsApp) associated with your account
  • Analytics and tracking data tied to your identity

Processing Timeline

Within 3 days: Acknowledgment of your request and identity verification
Within 15 days: Data export provided (if requested) before permanent deletion
Within 30 days: Complete deletion of all eligible personal data and confirmation email sent

Data Retention Exceptions

Certain data may be retained after a deletion request in compliance with applicable laws:

  • Healthcare records: Medical records may be retained as required by Indian healthcare regulations and the DPDP Act
  • Legal obligations: Data required for compliance with tax, legal, or regulatory requirements
  • Transaction records: Payment and invoice records as required by financial regulations
  • Anonymized data: Aggregated, anonymized data that cannot be linked back to you may be retained for analytics

If any data is retained, we will inform you of the specific categories and legal basis for retention.

For Patients

If you are a patient whose data is managed by a healthcare provider using our platform, please contact your healthcare provider directly to request data deletion. Your healthcare provider is the data controller for your health records. They will coordinate with us to process the deletion.
