Managing Appointments

Appointments are the backbone of your clinic workflow. Patients can book through WhatsApp AI, your website, or the receptionist can create them manually. Here's how to manage every aspect of the appointment lifecycle.

Creating an Appointment

Click "+ New Appointment" from the top bar or the Appointments page. Select the patient (or create a new one), choose a doctor, pick a date and available time slot, and confirm.

Available slots are auto-calculated from the doctor's working hours and existing bookings

Rescheduling

Open the appointment detail and click "Reschedule." Pick a new date/time. The patient receives an automatic WhatsApp notification with the updated schedule.

Cancelling

Click "Cancel Appointment" and select a reason. The slot is freed for other patients. A cancellation notification is sent to the patient via WhatsApp.

Cancelled appointments remain in history for reference — they are not deleted

Viewing Appointment History

Use the date filter and status filter (Scheduled, Completed, Cancelled, No-show) to browse past appointments. Export to CSV for record-keeping.

Important

Double-booking prevention is automatic. If a slot is taken, the system suggests the next available time. Override is only available for Admin users.

Tips

  • Set buffer time between appointments in Settings to avoid rushed consultations
  • Enable SMS/WhatsApp reminders to reduce no-shows
  • Use the calendar view for a visual overview of the day's schedule
